Offices are unique creatures. They are full of specialized equipment, information is sorted in unique filing systems, and every day, people turn up needing to get work done. It makes things a little tricky when the office needs to move location.
Luckily, we have a lot of experience with managing office moves and making the process as seamless as possible.
it turns out that with a little planning and preparation, and office move isn't actually all that difficult. It just requires organization and communication.
We start by getting to know the businesses operations inside and out. That helps us understand what items can be moved during working hours and what items need to wait until afterward. it also helps us understand which items need to be moved and set up immediately so that work can resume, as opposed to items that can be packed up and unboxed a day or two later.
Once we do that, we sit down with leadership and representatives from involved groups in the workplace so that we can work together to develop a smooth plan for transition. This is how we can set priorities, determine a schedule, and make sure that when the move does take place, work is disrupted as little as possible. We’ll also develop a plan for moving delicate equipment and sensitive information, such as confidential client files, in a way that protects them and fulfills your obligations as a custodian.
Then we get to work. During a time that is convenient for the workspace, our crew will come in and start packing items. This is a way to ensure that like items are packed together and transferred to a location where they are meant to be. We will move as many things as we can during the workday, but because our primary goal is to minimize disruption, much of our work occurs after the workday is finished.
During the after-hours, we move all of the essential equipment that needs to be set up again for use the next morning. This process happens quickly, with a larger move team then we would use for other jobs, so that everything is ready to go when the morning comes. The last thing anybody wants when moving offices is to have an extended interruption of operations.
On the second day of the move, after the essential things have been set up, we work on making sure everything else is put in its proper place. This will have been facilitated by our early planning, which will allow us to make sure the right items end up in the right rooms and that those items are clearly labeled so we know what they are. It is a quick, relatively painless process, and we find that most of our customers are surprised by how fast it goes.
